The Spanish Ministry of Justice, and more specifically the Horizontal Product Area, was faced with the need to modernize and digitize its document processes.
The Spanish Ministry of Justice, and more specifically the Horizontal Product Area, was faced with the need to modernize and digitize its document processes. With a large number of internal and external applications and users, the Ministry of Justice needed a robust solution to manage, store and access documents efficiently and securely.
To address these challenges, the Ministry of Justice selected Hyland's Alfresco platform for its document management system in 2011.
The Directorate General of Digital Transformation is responsible for planning and managing digital transformation within the justice sector. The implementation of Alfresco enabled the Ministry to deliver document services to both internal applications and end users through dedicated clouds.
Hyland's Alfresco platform for document management provides two main services:
Alfresco has delivered significant benefits to the Ministry of Justice, including the simplification and universalization of access through the simplification of environments and standardization of document management. It has also improved security and auditing, which are fundamental to the Department. It also managed to efficiently handle and optimize the large volume of documents and daily transactions, with an average of 109,000 files and 300,000 transactions per day.
For support and maintenance, they have a team of six qualified engineers and Alfresco's world-class support ensures an efficient maintenance service. They also have a Global Administration Console, a centralized tool for management, auditing and statistical analysis that improves decision-making and platform scalability.
Customized user interfaces have been implemented to facilitate access and document management. Integration with systems such as identity management and electronic signatures was also provided to streamline workflows.
Alfresco has not only streamlined internal management but has also improved interaction with citizens and other judicial entities. With a vision for the future, the Ministry continues to develop and improve its digital services, ensuring more efficient and accessible justice for all.
