Community health organization in Australia revolutionizes records management with Hyland's Alfresco platform.
The customer
Nunkuwarrin Yunti's vision is to lead the way in the delivery of contemporary culturally based health, social and emotional wellbeing services for the Aboriginal and Torres Strait Islander community. They achieve this by providing services dealing in primary health care to more than 6,000 individual clients each year.
The challenge
Nunkuwarrin Yunti's Business Support Services Unit were in need of a central location to declare, file and dispose of the organisation's records. Employees were previously using an in-house system to maintain their records, but it was a system, which did not provide direct access to viewing electronic files. This resulted in long search times to find particular records. Management was also concerned with version control on documents, and who was able to see sensitive corporate information.
Nunkuwarrin Yunti wanted to seek out a solution that would boost staff engagement and allow all employees to contribute to the records management of the organisation and support further document collaboration. Furthermore, as a government funded but community-controlled organisation, they wanted to ensure best practice with similar organisations by seeking out a solution that was VERS certified. Ensuring that the solution chosen had value for money was important for an organisation with limited IT funding, so being competitively priced was a necessity.
Similar organisations to Nunkuwarrin Yunti's had conducted records management scoping exercises, and the recommendation was that Hyland's Alfresco platform was the best fit for all business and technology needs. This sparked Nunkuwarrin Yunti to investigate the solution for them, concluding in the same outcome.

The solution
Nunkuwarrin Yunti decided to implement Alfresco platform for its 100 staff. Today, Nunkuwarrin Yunti uses the platform to support a number of their key business applications including records management, document management, versioning and collaboration.
Parashift additionally deployed the all-important VERS Records Management module to meet the local requirements of South Australian State Records. The solution has provided the organisation with the benefit of a governed approach whereby they are able to place their records in a single repository system to be indexed for later search. Nunkuwarrin Yunti has implemented a much needed enterprise wide records management solution within time and resource constraints.
Parashift followed the agile methodology of delivery, which permitted the project to be deployed in sprints to promote collaboration between the two parties. For Nunkuwarrin Yunti this was the first they had heard of the approach. "The project with Parashift was the first experience we had with the Agile approach; we were very happy with this method as it ensured that we got the project completed on time," King said.
The difference
Through Alfresco platform, each staff member now has the opportunity to access and collaborate on thousands of documents and records produced by the organisation. "I have staff come up to me and say that they are extremely happy that we chose Parashift and Alfresco platform to implement a solution. For all of us, this is a huge compliment, as this hasn't happened before in a technology project," said King.
